We're Hiring: Event Planner

Friends of the Rail Park (FRP) seeks a part-time, contract event planner. We are looking for a creative, organized planner to work with FRP staff and partners on the launch of a new market in partnership with the Mexican Business Owners Association and support the Rail Park Block Party. The events are scheduled for Thursday, August 1, 2024 and Saturday, September 7, 2024 respectively, and will include food vendors, craft and small business vendors, musical performances, a beer garden, and family-friendly activities. The right candidate may have opportunities to plan future markets and FRP-events. This position reports to the Executive Director. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Event Planning 

  • Develop planning timeline
  • Manage event budget
  • Plan, coordinate, and lead planning meetings
  • Manage the drafting and submission of permitting and liability materials
  • Ensure adherence to permitting and liability requirements, including health and safety measures
  • Support event sponsorship requests
  • Work with project teams to find and confirm vendors, performers, and activities
  • Work with FRP staff and consultants to development communications strategy and marketing materials for the event

Event Coordination

  • Day of management of load-in and break-down
  • Communication and coordination with market participants including vendors, performers, and event rental businesses
  • Manage event volunteers and staff

QUALIFICATONS:

  • Spanish fluency strongly preferred
  • Experience with managing cultural and/or small business events preferred
  • Experience with Philadelphia permitting, L&I, and Health Dept requirements preferred
  • Collaborative spirit with a strong sense of accountability
  • Excellent interpersonal skills 
  • Ability to think and work independently with superior attention to detail
  • Ability to prioritize and perform multiple tasks while meeting deadlines
  • 2+ years of experience preferred

Reports to:  Executive Director

Status:  Part-time, temporary. We expect a minimum of 5 hours a week, ramping up as the events approach

Compensation:  Starting hourly rate $25/hr, commensurate with experience

Expected start date:  ASAP
